Volt Éire Installer Standard Operating Procedure

1. Purpose
- 1.1This SOP forms part of the Volt Éire Installer Network Agreement. It sets the minimum standard for every Job. Where the Job details give a more specific instruction, follow the Job details.
2. Before the Job
- 2.1Keep your working hours, service area and blocked dates up to date in the Portal. Jobs are booked against them.
- 2.2At least 2 Business Days before the Job, review the Job details: the charger model, property photographs, walkthrough video, earthing notes and any approved Extras. Report anything that suggests the Job is not a Standard Installation through the Portal.
- 2.3Confirm that you have, or will collect, the charger and any accessories listed for the Job. Check them for damage before the Job.
- 2.4Contact the Customer only to confirm the arrival window and access arrangements.
3. Arriving on site
- 3.1Arrive within the booked window. If you will be late, tell the Customer and us as soon as you know.
- 3.2Introduce yourself as installing on behalf of Volt Éire. Carry identification.
- 3.3If the Customer is not present or access is not possible, wait at least 30 minutes, try to contact the Customer, and report the missed visit in the Portal before leaving.
- 3.4Carry out your risk assessment before starting work.
4. Carrying out the installation
- 4.1Before starting work, take the before photographs and walkthrough video the Portal asks for, including the consumer unit, meter position and the proposed charger location.
- 4.2Fit the exact charger model supplied for the Job. If a different unit is needed, stop and contact us before fitting anything else.
- 4.3Install to the current National Rules (I.S. 10101), the manufacturer's installation instructions and the SEAI scheme rules. This includes a dedicated circuit, the protective devices and earthing arrangement the charger requires, and any load management or current transformer the Job details include.
- 4.4If work beyond the Standard Installation is needed, stop, photograph it, and report it in the Portal. Do not carry it out or discuss its price with the Customer until we approve it.
- 4.5Use safe isolation and lock-off. Never leave the property with exposed live parts or an unsafe installation. If you cannot finish, make the installation safe and report it the same day.
5. Commissioning and handover
- 5.1Test the installation fully and record the results on the Test Record.
- 5.2Commission the charger, confirm it charges, and help the Customer set up the manufacturer's app where the charger requires it.
- 5.3Show the Customer how to use and isolate the charger. Leave the manufacturer's documentation with them.
- 5.4Leave the site clean and tidy and remove your waste for proper disposal.
6. Completion Evidence
- 6.1Complete the SEAI Installation Details form accurately using the SEAI link on the day of installation where possible, and in any case within 24 hours.
- 6.2Within 24 hours of completion, upload to the Portal: after photographs and walkthrough video; the Safe Electric Completion Certificate (Certificate No. 3) signed by your Qualified Certifier; and the Test Record.
- 6.3Mark the Job complete in the Portal only when the installation is finished, tested and commissioned.
- 6.4Invoice us within 7 days of completion, quoting the Job code, by uploading it in the Portal or emailing it to invoices@volteire.ie with the Job code in the subject.
- 6.5You may correct a completion record in the Portal within 24 hours. After that, contact us to correct it.
7. Problems, damage and incidents
- 7.1Report any damage to the Customer's property, however minor, to us the same day with photographs. Do not agree compensation with the Customer yourself.
- 7.2Report any accident, injury or dangerous occurrence to us within 24 hours.
- 7.3If a Customer complains to you, be courteous, do not argue, and refer them to Volt Éire. Tell us about the complaint the same day.
8. Call-backs
- 8.1Attend and make safe any safety-critical issue we report within 24 hours.
- 8.2Attend any other workmanship issue within 5 Business Days, and upload photographs of the fix to the Portal.
9. Customer data on your devices
- 9.1Use the Portal as the record for each Job. Do not forward Customer details, photographs or videos to personal messaging groups or third parties.
- 9.2Delete any Customer photographs, videos or details you saved outside the Portal within 30 days of completing the Job, except records you must keep by law as a Registered Electrical Contractor.
10. Conduct
- 10.1Treat Customers, their household and their property with respect. Use dust sheets and protect floors and finishes.
- 10.2Do not smoke, vape or play loud music at the property, and do not attend under the influence of alcohol or drugs.
11. Quality review
- 11.1We review the Completion Evidence for every Job and may audit installations. If we find a shortfall, we will tell you what needs to be done, and you will correct it within the timescales in the call-backs section.
